What many people don’t see is everything happening behind the scenes to make those moments possible.

Behind the Scenes at Adept Hire, no two days are ever the same. From early warehouse starts to late-night pack-downs, our team works hard to help bring events together across Brisbane, Sunshine Coast, Gold Coast and surrounding areas.

The Day Often Starts Early

ALL mornings begin with coffee and then the warehouse begins with delivery runs, loading vehicles, checking hire items, and preparing orders for the day ahead. Lauren, the owner is hands on and usually double checking every schedule. 

Our team carefully checks:

  • tables and chairs
  • glassware and catering equipment
  • backdrops and styling items
  • marquees and flooring
  • lighting and event accessories

Every order is packed with attention to detail because we know our clients are relying on us for important occasions.

Some days involve:

  • school graduations
  • corporate events
  • engagement parties
  • weddings
  • birthdays
  • community festivals
  • backyard celebrations

And often, several of these all in one day.


“Event logistics is a bit like putting together a giant moving puzzle,” Lauren explains. “You’re coordinating delivery runs, timing, crew, stock, access points, weather, and setup schedules all at once. Every event is different and there’s always something unexpected that pops up, but that’s also what makes it rewarding. Seeing everything come together on the day makes all the behind-the-scenes work worth it.” 



Planning Before the Setup Begins

Before a truck even leaves the warehouse, there’s already been a lot of communication and planning happening behind the scenes. You probably have had clear communication about delivery times from Lauren in the office, then the text reminder from Andrew as the team hit the road. Guarantee at this point they will have a coffee in hand. 

One of the things we value most at Adept Hire is communication. We know planning an event can sometimes feel overwhelming, so we aim to make the process feel easier and more supported from the beginning.

Onsite Setup Days

Event setup days can involve anything from simple chair deliveries through to full marquee installations and large-scale event setups.

Some locations are straightforward. Others involve:

  • stairs
  • tight access points
  • loading docks
  • weather challenges
  • uneven ground
  • strict venue requirements
  • short setup windows

No matter the challenge, our team works together to problem-solve and keep things moving.

Safety is also a major focus for us. From manual handling to marquee installations and onsite deliveries, we follow workplace safety procedures to help protect our team, clients, and the public. You probably find Andrew carrying multiple hard hats to prompt the guys hats needed even in QLD Heat. 

It’s More Than Just Hiring Equipment

One thing we’ve learnt over the years is that event hire is rarely just about the products.

People are often planning moments that matter deeply to them:

That’s why we try to approach every booking with care, patience, and understanding.

Sometimes clients know exactly what they need. Other times they simply have an idea and need help bringing it together. This is the part Lauren loves the most, she genuinely enjoys helping people work through the process and bringing the celebration alive.


Andrew often says the marquee side of the business is where planning, teamwork, and problem-solving all come together. “Every site is different,” he explains. “You’re working with weather, access, ground conditions, timing, and safety, all while making sure the structure is secure and ready for the client’s event. There’s a lot more involved behind the scenes than most people realise.” 


The Warehouse Never Really Stops

Once deliveries are complete, the work continues behind the scenes at Adept Hire.

Returned items are:

  • cleaned
  • checked
  • repacked
  • repaired if needed
  • organised back into stock

There’s also ongoing work involving:

  • quoting future events
  • maintaining equipment
  • updating products online
  • responding to enquiries
  • planning logistics
  • creating marketing content
  • ordering stock
  • preparing for upcoming weekends

In the event industry, preparation never really stops.

One area we’re particularly proud of is supporting schools and community organisations across Brisbane and surrounding areas.

The long days, heavy lifting, weather changes, and busy weekends are all worth it when we see an event come together successfully.

A space can take hours to prepare, install, style, and perfect, only for it to be packed down again a day or two later. But for the people attending the event, those moments become lasting memories.
