November and December are the busiest weeks of the year for school and workplace events in Brisbane. Last year our team delivered to school graduations, kindy Christmas parties, carols nights, council events, club trivia nights and work Christmas parties. Whether you're a business manager booking seating for the whole school or the person who put their hand up to organise the work party, this guide covers what to hire, roughly how much you'll need and when to lock it in.
When to book your end-of-year event hire
The most popular dates go first. In 2026 Christmas Day falls on a Friday, so Thursday and Friday nights in the first two weeks of December are likely to be the most requested for work parties. School graduations, awards nights and carols tend to cluster from late November into early December, which means chairs, marquees and gazebos are booked out across the same few weekends. If your event lands on one of those dates, the earlier you request a quote the more choice you'll have. Midweek and early November dates are usually easier to secure.
A simple booking timeline
- 8 or more weeks out: confirm your date, venue and rough guest numbers, then request a quote. This is the best time to secure marquees, gazebos and large chair orders.
- 6 to 8 weeks out: confirm your booking by paying the deposit shown on your quote.
- 30 days out: full payment is due. For schools and councils, this is a good point to have your purchase order and invoice approved.
- 2 weeks out: check your final numbers and any extras with us.
- The week of your event: we confirm your delivery window and you get the site ready for us.

What schools and workplaces usually hire
School graduations, awards nights and carols
White plastic chairs are the backbone of most school and community events. They stack easily, suit grass and hard surfaces, and set out neatly in theatre-style rows facing the stage. We've set out anything from a few rows for a kindy concert to around 1,000 chairs for a single large event. Trestle tables cover sign-in, awards tables, supper and merchandise. Marquees and gazebos give shade on the oval, and modular staging lifts speakers and performers so everyone can see. For larger community carols and council events, crowd barriers help manage entries and keep walkways clear.
Kindy Christmas parties and club nights
Kindy events often call for kids' Tiffany chairs, trestle tables for craft and food, a gazebo or two for shade and some lawn games to keep little ones busy. For club trivia nights, trestle tables work well as team tables, with white plastic chairs that are quick to set out and stack away at the end of the night.
Work Christmas parties
Stand-up functions suit bar tables, with a few chairs for anyone who'd like to sit. Glassware saves on disposables and looks the part, and high tea stands are a lovely touch for an afternoon tea or morning celebration. If your party is outdoors, a marquee with festoon lighting turns a car park, courtyard or backyard into a proper venue.

How much will you need?
Every venue and guest list is different, so treat these as general guidance and we'll help you check the details.
- Chairs: allow one per guest plus a handful of spares for late arrivals and special guests. For graduations, remember that each student may bring several family members, so plan your seating around the full expected audience.
- Aisles and spacing: leave clear aisles through and around your rows so guests can move easily and walkways stay open in case of an emergency. Check your venue's requirements too.
- Trestle tables: how many guests each table seats depends on its size and whether people sit on the ends.
- Bar tables: for a stand-up party, spread bar tables through the space so every group has somewhere to put down a drink or plate.
- Glassware: allow more than one glass per guest, as people often put a glass down and pick up a fresh one.
If you're unsure, give us your best estimate when you request a quote and let us know early if your numbers change.
Planning for Brisbane summer weather
Brisbane in November and December means heat, strong UV and the chance of an afternoon storm, so shade and a wet weather plan belong in every outdoor event. Think about where the sun will be at the time your event starts, as late afternoon sun can come in low under a marquee or gazebo roof. Guests sitting through an hour-long ceremony will thank you for proper shade.
Marquee or gazebo?
Gazebos are quick, flexible shade for registration desks, food stations and small groups. Marquees suit larger seated crowds, are installed by our team and can be scheduled ahead of your event day. Marquee installs are quoted separately, so include your site details when you ask. Marquee sides are available for rain or low sun.

Have a plan B
If storms are forecast, have a backup space such as the school hall or an undercover area, and tell us early if your setup might change. Keep water available for guests and volunteers too.

Delivery or warehouse pickup
From 1 November 2026, delivery is priced by suburb and shown clearly on your quote, with no surprises. Larger installs such as marquees are quoted to suit your site. If you'd like to collect, our warehouse is at Northgate. As it's a working warehouse, collections are booked ahead and a $30 collection fee applies. You'll find more on our delivery page.
What to have ready when you request a quote
Having these details ready helps us quote accurately the first time.
- Event date, plus start and finish times
- Venue address and where on site everything will go (oval, hall, courtyard, car park)
- Ground surface, such as grass, concrete, pavers or indoors
- Access details, including gates, stairs, distance from the truck to the setup area and an onsite contact
- Expected guest numbers, including families and visitors
- Your item list, or a quick description of the event so we can help you choose
- Delivery or warehouse pickup, and whether you'd like us to set up and pack down
- Your wet weather plan
- For schools, kindies and councils, your purchase order number, invoice details and who approves payment
One more tip is that hired glassware is returned washed, so build a little clean-up time into your pack-down plan.
